From Jamnagar to Mumbai: The Elite Butlers Wedding Hospitality Story
From Jamnagar to Mumbai: The Elite Butlers Wedding Hospitality Story
An India hospitality assignment, with lessons for private celebrations in Dubai and across the UAE.
For families and event planners considering luxury event staffing in Dubai, the experience behind a team matters as much as the number of professionals available. This story looks back at Elite Butlers Hospitality Solutions’ involvement in the 2024 celebrations in Jamnagar and Mumbai, and the preparation, coordination and discretion that shaped the assignment.
The events described here took place in India. We share the story with our UAE audience because the same questions arise when planning a private celebration: who will look after the guests, how will the team be prepared, and who will coordinate the details behind the scenes?
With reflections from Shiv Kumar Yadav, Founder, Elite Butlers Hospitality Solutions.
“Some assignments are important because of their commercial value. Others stay with you because they show you what your people and your organisation are actually capable of. For us, this was one of those assignments.”
— Shiv Kumar Yadav, Founder, Elite Butlers Hospitality Solutions
In early 2024, we received a call that would eventually become one of the most memorable assignments in the journey of Elite Butlers Hospitality Solutions.
We were approached to support the butler requirements for the pre-wedding celebrations of Anant Ambani and Radhika Merchant in Jamnagar, Gujarat.
The celebrations would eventually attract global attention, bringing together an extraordinary gathering of international business leaders, royalty, entertainers, sports personalities and prominent families.
But our story started before the celebrations began.
Approximately 30 experienced butlers. Handpicked. Prepared. Mobilised at short notice.
For us, the challenge was not finding 30 people. It was finding the right 30 people.
It Was Never About Filling 30 Positions
When you are dealing with personalised luxury hospitality, availability alone is not enough. We knew the professionals entering this environment would need much more than conventional event-service experience.
They needed confidence without being intrusive. Excellent grooming and communication. An understanding of luxury service. The ability to anticipate. And, importantly, discretion.
We activated the network we had built over years of working within hospitality recruitment, private staffing and butler services. We identified professionals from luxury five-star hotels, private residences and premium hospitality environments in India and overseas. Some had experience working around royalty, dignitaries, business leaders and UHNW families.
2–5 years | 5–8 years | Senior professionals with experience extending towards 15 years
Profiles were screened and shortlisted. Selected professionals also interacted virtually with the event stakeholders before final selection.
We were not trying to complete a headcount. We wanted to be confident about every professional we were putting into that environment.

Selecting the Team Was Only the Beginning
Once the professionals had been identified, another challenge emerged. We now had approximately 30 people coming from different parts of the country who needed to reach Jamnagar within a very short period.
Demand for flights and accommodation was extraordinary as guests, hospitality companies, event agencies, caterers, performers, technicians and vendors converged on the region. Trying to move everybody independently and directly into Jamnagar was not going to be the most practical approach.
Ahmedabad Became Our Mobilisation Hub
Professionals travelled from their respective cities into Ahmedabad. Arrivals needed to be tracked. Airport pickups had to be coordinated. Accommodation had to be arranged. Uniforms and multiple sets had been prepared and needed to reach the right people. Everyone needed time to rest, refresh and prepare before moving onwards.
While all of this was happening in Ahmedabad, another part of the operation was running continuously from our office in Faridabad.
Behind the 30 Butlers Was Another Team
The photographs from Jamnagar show the professionals who eventually reached the event. What those photographs do not show is everything happening behind them.
Our Faridabad office became the backend support centre for the deployment.
Sanya, based at our Faridabad office, played an important role in providing backend operational support throughout the assignment. While the on-ground team was constantly moving, she helped keep the backend organised—supporting communication, documentation, coordination and the many last-minute requirements that arose throughout the deployment.
On the ground, Vipul, our Director – Operations & Strategy, played a central role in orchestrating the operation and coordinating the deployment. He worked alongside me throughout the assignment, helping manage arrivals, accommodation, team batches, uniforms, vehicles and onward movements.
Varun Kasyap was also with us, providing dedicated logistical support on the ground and helping us manage the practical movement and coordination required to bring everything together.
FARIDABAD — Backend Support | AHMEDABAD — Mobilisation Hub | JAMNAGAR — Final Deployment
“When people eventually see the photograph, they see 30 well-groomed professionals standing at an extraordinary venue. What they do not see are the hundreds of calls and small decisions behind that photograph. Vipul was orchestrating much of the operational coordination and deployment on the ground. Varun was with us supporting logistics, while Sanya was providing us with the backend support we needed from Faridabad. It was hectic, but it was also one of those moments where you see what teamwork really means.”
— Shiv Kumar Yadav
Six at a Time
Rather than attempting to move the entire team together, we divided the professionals into smaller batches. They arrived in Ahmedabad, checked into the hotel, rested, refreshed and prepared.
We then organised them into groups of approximately six professionals. Vehicles were arranged. One group departed towards Jamnagar. Then another. Then the next. Over approximately two days, the entire team was progressively mobilised.
There was nothing particularly glamorous about this part. It was calls, flights, hotel rooms, uniforms, vehicles, changing schedules and constant coordination.
What looks effortless to a guest often exists because somebody solved dozens of problems the guest never knew existed.

Preparing for an Exceptional Service Environment
Getting everyone to Jamnagar was only one part of the assignment. Now the professionals had to prepare for the environment they were entering.
There were briefings and service protocols. Grooming had to be checked. Uniforms had to be coordinated. And confidentiality was extremely important.
NDAs and clear expectations around privacy formed part of the environment, including restrictions surrounding information, photography, mobile phones and what could be shared outside the assignment.
Discretion is not an additional service. It is part of the standard.
A good butler understands what the guest asks for. An exceptional butler anticipates what the guest may need next. And a trusted butler understands what should remain private.

Then We Saw Jamnagar for Ourselves
Vipul and I also travelled to Jamnagar, where we had an opportunity to experience parts of the operation first-hand, meet stakeholders and interact with members of our deployed team.
Seeing the scale personally was quite different from hearing about it. Hospitality professionals, luxury hotel teams, caterers, event specialists, production teams, technicians and specialist vendors had converged on Jamnagar. Extensive infrastructure and guest accommodation arrangements had been created around the celebrations.
What impressed us was not simply the scale. It was the attempt to maintain attention to detail at that scale.
30 BUTLERS. MULTIPLE CITIES. ONE STANDARD.

These Weren’t Simply Event Waiters
Our requirement was not simply to provide additional F&B manpower. There is a significant difference between conventional event service and personalised butler service.
A waiter may be responsible for a particular station, table or function. A butler can be responsible for the guest.
That changes the entire approach. It means understanding preferences, anticipating requirements, coordinating discreetly with accommodation, culinary, transportation and other hospitality teams, knowing when to engage and knowing when to step away.
The best butler service does not constantly draw attention to itself. The guest does not necessarily need to know who made everything happen. They simply experience that it happened.
And Then the Celebration Began
By the time the event commenced, much of our most difficult work had already happened behind the scenes.
IDENTIFIED • SCREENED • SELECTED • MOBILISED • BRIEFED • GROOMED • UNIFORMED • DEPLOYED
Seeing professionals selected through our network operating within such an extraordinary hospitality environment was a proud moment for our entire team. The assignment concluded successfully.
But our association with the celebrations did not end in Jamnagar.
From Jamnagar to Mumbai
A few months later, the wedding celebrations moved to Mumbai, and Elite Butlers was once again part of the hospitality support for the wedding celebrations.
We returned to our network and brought together professionals according to the requirements of the Mumbai events, including experienced professionals familiar with the standards expected from the earlier celebrations.
For us, being involved again was particularly meaningful. Being selected for an assignment of this magnitude once is an opportunity. Being called upon again means something more.
Mumbai was a different environment. The setting and logistics were different, but the fundamentals remained exactly the same: the right professionals, the right preparation, the right attitude and absolute discretion.
JAMNAGAR → MUMBAI
The Assignment Didn’t End When the Celebration Ended
There is another side of large-scale hospitality mobilisation that is not usually visible. The event may finish. The operation does not.
After Jamnagar, approximately 30 professionals still needed to return to different parts of the country. Teams were coordinated out of Jamnagar, transportation back towards Ahmedabad was organised, accommodation and onward travel were managed, and professionals returned to their respective cities.
Only when the final team members had travelled back could we really consider the operation complete.
What Jamnagar and Mumbai Taught Us
Being associated with such an extraordinary celebration is something we are proud of. But when we look back today, the biggest takeaway is not the name or scale of the event.
It is what the assignment revealed about something Elite Butlers had quietly spent years building: our network.
Over the years, we have recruited, trained, placed and worked with butlers, house managers, private chefs and luxury hospitality professionals across India and overseas. Some work in leading luxury hotels. Some work in private residences. Some have built international careers. Some have experience serving royalty, dignitaries, entrepreneurs and UHNW families.
Individually, these are professionals and relationships. Collectively, they have become an extraordinary hospitality talent network.
Jamnagar showed us what could happen when that network was activated.
“Years before this assignment, someone had asked us whether it would be possible to put together a very large number of high-quality butlers in India. I remember saying, ‘If someone genuinely wants to find some of the best butlers available, we should be able to find them.’ Jamnagar tested that confidence. And when our association continued into Mumbai, it reinforced something for me: we had built much more than a database of candidates. We had built a network.”
— Shiv Kumar Yadav
This Was Never the Achievement of One Person
An assignment like this takes a team.
Sanya and our Faridabad office provided the backend operational support that helped keep the deployment moving.
Vipul, our Director – Operations & Strategy, orchestrated significant parts of the operational coordination and deployment on the ground.
Varun Kasyap supported us with logistics and practical coordination during the mobilisation.
Our wider team worked behind the scenes to identify professionals, coordinate information and respond to changing requirements. And ultimately, approximately 30 butlers and hospitality professionals carried all of that preparation into the actual guest experience.
The people a guest sees are only one part of hospitality. There is almost always another team behind them making everything possible.
Some of Our Best Work Will Never Be Published
The experience also reinforced another principle fundamental to Elite Butlers: confidentiality.
Over the years, Elite Butlers has supported other prominent and UHNW families, private residences and private celebrations. Some assignments can be discussed. Many cannot.
When a family trusts you with access to its home, guests and private moments, protecting that trust matters considerably more than the opportunity to advertise the assignment afterwards.
Sometimes professionalism is demonstrated as much by what you don’t say as by what you do.
Today, We Know What We Can Mobilise
Today, when someone approaches Elite Butlers for a private celebration, destination wedding or major hospitality requirement, we understand what goes into delivering it.
The requirement could be five private butlers for an intimate celebration, 15–20 hospitality professionals for a destination wedding, 30+ experienced butlers for a major UHNW event, or a specially curated team of private butlers, event butlers, house managers, private chefs, guest relations professionals and luxury hospitality professionals.
The assignment could last three days or three months. It could be in India or internationally. Travel can be planned. Accommodation can be organised. Uniforms can be prepared. Professionals can be briefed and trained. Logistics can be solved.
But ultimately, everything comes down to one question:
Can you find the right people?
After years of building Elite Butlers and our hospitality network, that is the part we are most confident about.
Exceptional hospitality isn’t about how many people you can provide. It is about who you are prepared to put in front of the guest.

What This Experience Means for Private Celebrations in the UAE
A wedding in Dubai, a family celebration in Abu Dhabi or a private gathering at a UAE residence will have its own setting and requirements. The practical lessons from Jamnagar and Mumbai are still relevant: assess the people carefully, define each role and plan the operation around the guest experience.
- Choose experience that fits the occasion. Personalised butler support, guest relations and food-and-beverage service involve different responsibilities. The staffing brief should explain which roles the celebration needs.
- Make preparation part of the plan. Arrival schedules, accommodation where required, uniforms, service briefings and coordination with the venue need attention before guests arrive.
- Discuss privacy from the outset. Agree expectations for confidentiality, photography and communication with the professionals supporting the family.
- Coordinate across the household and event teams. Butlers should understand how to work with culinary, transport and venue colleagues, with a clear point of contact for changes.
- Plan the close of the assignment. Handover, departure arrangements and the team’s return journey are part of the operation too.
